The short version
For about ten days in March, downtown Austin becomes a different city. Sixth Street closes to cars from I-35 to Congress, the Convention Center is the center of gravity, and every venue on Red River has a line. Getting around is the hardest part of the festival, harder than getting into anything. A startup team, a band and its crew, or a dozen friends with music wristbands book a vehicle for the week because it is the only way to move together on their own schedule.

Interactive week, when the bus is an office
The first days of SXSW belong to the badge crowd. A company sends a team of twelve, puts them in a rental house off East Cesar Chavez or a hotel by the airport because downtown was sold out in November, and needs them at the Convention Center by nine, a panel at a hotel on Congress by two, a happy hour at a sponsor space on Rainey by six, and a dinner on East Sixth by eight. That is a sprinter day. An executive sprinter with WiFi and USB lets the team work between stops, the driver knows the Cesar Chavez hotel entrances that still take a vehicle, and the group never waits in the rideshare pen. Corporate groups are also the ones who book earliest for the festival, because the travel manager has it on the calendar in January. Evenings during Interactive are quieter than music week, and a sprinter can usually get close to the party on Rainey or in the warehouse district.
Music week, when the bus is the ride home
By the second half, the festival is music. Showcases run at Stubb's, Mohawk, Cheer Up Charlies, and the rest of the Red River strip until past one, day parties fill the patios on Rainey and South Congress, and the wristband crowd walks ten miles in a day. A party bus during music week is less about the ride between venues, since most of that is on foot, and more about the beginning and the end. It brings a group in from Round Rock or the Domain at four, drops them on the Congress Avenue spine, and picks them up at Red River and Tenth at two in the morning when there are no cars to be had. The ride home is the part everyone is grateful for, with the sound system playing the band they just saw. March groups in our Austin records ask for Saturdays about 60% of the time, higher than the rest of the year, and music-week Saturdays are the tightest night of the festival.

Why SXSW groups book late, and why the early ones win
March is the most last-minute month in our records. About 30% of March inquiries arrive inside a week of the event, against 23% across the Austin year, and the SXSW groups are the reason. Plans firm up when the badge arrives, when the band gets confirmed for a showcase, when the sponsor finalizes the party. We understand that, and a weekday sprinter for a corporate team is usually workable with a few days notice. A party bus for a Saturday night in music week is not, because that Saturday is also a rodeo Saturday and a spring wedding Saturday and a bachelor-party Saturday, and the bus that a group wanted was reserved in February. The teams that book the festival week in January get the vehicle and the driver they want; the groups that call the Tuesday of the festival get what is left, which is sometimes fine and sometimes a much bigger bus than they needed.

Where groups stay, and what that means for the ride
Almost nobody who comes for SXSW stays downtown anymore, because the hotels within walking distance of the Convention Center are sold out and priced for sponsors. Groups land in rental houses in East Austin and Bouldin Creek, in hotels along I-35 near Round Rock, at the Domain, or by the airport. Each has its own ride. East Austin rentals are ten minutes from the action but sit on narrow streets where a party bus loads on the corner. The Domain and the airport hotels are twenty-five minutes on a normal day and forty during the festival, which makes the vehicle a bigger part of the day than it would be in a walkable stay. Round Rock houses are the best value and the longest ride, and those groups tend to leave once in the afternoon and come back once at close. A shuttle bus for a large group and a sprinter for a small one both handle those distances, and the driver is the only person in the group who knows which exit to take.
Good to know
- •Sixth Street from I-35 to Congress is closed to vehicles for most of the festival, so every downtown drop happens on a cross street.
- •A bus can hold on Red River above Tenth for a few minutes, but not for the length of a set.
- •Badges, wristbands, and IDs are the three things people leave in the rental, and the bus is a good place for a single envelope.
- •Rodeo Austin overlaps the festival every year, so a March Saturday has two big crowds competing for the same vehicles.
- •The rideshare pen by the Convention Center is a fifteen-minute wait on a music-week night, which is the wait a bus removes.
- •Interactive-week groups tend to want a sprinter; music-week groups tend to want a party bus.
A SXSW day a bus can actually keep up with
The schedule that works starts with a hotel or rental-house pickup around 9:30 and a drop on Congress or Cesar Chavez for morning sessions at the Convention Center. The bus leaves; nobody needs it for four hours. Early afternoon, it collects the group at a hotel entrance on Cesar Chavez and runs east to a day party along East 6th or near Fair Market, which is the one leg where a vehicle beats walking because the east side is a mile out and the day is warm. Around 7, the group rides back to the Red River district and gets dropped north of the barricades on Trinity or at 10th and Red River, then walks to the showcases at Stubb's, Mohawk, or the smaller rooms. The last pickup is at 7th and Brazos or up on Red River past 12th at 1:30 or 2, wherever the driver can hold a curb. That is really a split booking: two hours in the morning, two in the afternoon, and the late window. Ask us to quote it that way instead of as one 14-hour block; the vehicle time you do not use is the expensive part.
