The holiday party: from the office to the venue and home again
December is the busiest month for corporate events in our booking data at about 19% of inquiries, and the holiday party is what drives it. The typical version loads at the office at six: a tech campus on Parmer, a tower on Congress, or a Domain building with a security desk. The bus takes the group to the venue, Brazos Hall or a hotel ballroom or a rented restaurant on Rainey, and waits through dinner, awards, and the open bar. The return is the point of the whole booking. Nobody who has had three drinks at the company party is getting into a car, and the bus that takes everyone back to the office garage or drops them at home is the company's answer to that. Only 37% of corporate dates in our records fall on a Friday or Saturday, and holiday parties are mostly weeknights, which means the venues and the vehicles are both easier to get than a Saturday in December would be.
Client visits between the airport, the hotel, and dinner
A client day in Austin is a sprinter day. The executive sprinter meets the visitors at Bergstrom, the driver holds a sign at the bottom of the escalator, and the ride into town on TX-71 is twenty minutes of WiFi, USB ports, and the first look at the skyline from the Riverside overpass. The hotel is the JW Marriott or the Fairmont, the afternoon is a site visit or a meeting downtown, and dinner is Perry's or Red Ash with a private room. The sprinter is outside for every leg, and the client never opens a rideshare app or waits on a curb. On a two-day visit the same vehicle handles a morning run to a facility in Round Rock or Taylor and an evening at ACL Live for a show, then the airport drop on the way out. The cabin is quiet enough for a call, and the executive seats face forward so the meeting can keep going on the road.

Team afternoons: Top Golf, axe throwing, and a patio to finish
The team outing is the friendliest corporate ride. A department of twenty leaves the office at two on a Thursday for Top Golf at the Domain, Urban Axes on Springdale Road, Pinballz on Burnet, or Punch Bowl Social downtown, and the bus waits in the lot while the group competes. The second stop is a patio: a brewery on the east side, a Rainey bar early enough to get a table, or a spot on South Congress. The ride between is where the team stops being a team and becomes a group of people who like each other, which was the whole point of the budget line. A party bus fits this version, with the lights and the sound system making the twenty-minute drive part of the afternoon, and 76% of night-out inquiries in our booking data ask for one. A shuttle with forward seats fits the calmer version, where the outing is a lunch in Georgetown or a Hill Country winery.

Conference weeks in March and October
Austin's conference calendar bends around SXSW in March, ACL and F1 in October, and the tech conferences that fill the downtown hotels between them. A company hosting during those weeks runs a shuttle loop between the hotel block and the venue, with a coach making laps from the Fairmont and the JW to a ballroom or to Palmer Events Center from eight in the morning until the evening reception ends. During SXSW the streets around Red River and the Convention Center site close for more than a week, and the loop routes around them with time built in. During F1 weekend the hotels triple in price and the buses fill months out. Outside those weeks, a conference shuttle is calm work: forward-facing seats, overhead storage for laptops, a driver who knows which hotel curb is real, and attendees who stop looking for the bus by the second morning because it is always there.
