The planner owns the timeline, so give them the transportation column early
A wedding planner's master timeline is the document that decides whether the shuttle plan works. Every Austin planner we have worked with runs the day in five- and ten-minute blocks, from hair and makeup at a hotel near Congress Avenue through the send-off at a venue in Dripping Springs or Georgetown. Transportation fits into that timeline as a set of departure times, not arrival times, because a bus that leaves late arrives late no matter what the sheet says. The median wedding inquiry in our booking data asks for 20 passengers, which is usually the wedding party plus immediate family on one vehicle, with a separate guest shuttle sized to the hotel block.
Give your planner the vehicle category and reserved hours from the price we send as soon as you have them. They will use those numbers to set the hotel lobby call time, tell the venue when to expect a large vehicle on the drive, and decide whether an early return wave is worth adding. Planners also know the venues where a bus needs to back in from RM 12 rather than turn around inside, and that detail on the timeline saves fifteen minutes on a Saturday evening when the sun is going down and the photographer is waiting.
